Artificial Intelligence (AI) Policy — Nova Journal of Computer Science and Intelligent Systems (NJCSIS)

Nova Journal of Computer Science and Intelligent Systems (NJCSIS) recognizes the increasing use of Artificial Intelligence (AI) and AI-assisted technologies in scientific research and scholarly writing. As a journal dedicated to advancing intelligent systems, NJCSIS establishes clear guidelines for authors, reviewers, and editors to ensure transparency, accountability, and ethical integrity.

1. Guidelines for Authors

• Authorship Eligibility: AI tools, Large Language Models (LLMs), or generative AI cannot be listed as authors or co-authors. Authorship implies accountability, which AI tools cannot accept.
• Disclosure & Transparency: If generative AI or AI-assisted technologies are used in the writing, editing, code generation, or data analysis process, authors must explicitly disclose this in the manuscript (e.g., in a dedicated "Declaration of Generative AI in Writing Process" section or the Methodology).
• Responsibility for Accuracy: Authors remain fully responsible for the originality, accuracy, scientific validity, and ethical integrity of all content in their manuscript, including any AI-generated text, figures, code, or citations.
• Research Subject Exception: When AI algorithms, models, or architectures are the primary subject of empirical research or novel technical contribution, their deployment and methodology must be rigorously detailed in the main text.

2. Guidelines for Reviewers

• Confidentiality Protection: Reviewers must not upload submitted manuscripts, abstracts, or parts of a manuscript into external AI tools or LLMs. Doing so violates author confidentiality and data privacy agreements.
• AI-Generated Review Reports: Reviewers are prohibited from using AI tools to automatically write or generate peer-review reports and evaluations. Peer review requires independent, critical, and human expertise.
• Detection & Reporting: Reviewers are encouraged to alert the editorial team if they suspect undisclosed or inappropriate use of generative AI in submitted manuscripts.

3. Guidelines for Editors

• Confidential Editorial Decisions: Editors must maintain strict confidentiality and must not feed manuscript data into generative AI systems for evaluation, summarizing, or decision-making.
• Editorial Oversight: Editors evaluate AI disclosures provided by authors to ensure transparency and proper usage compliance.
• Handling Misconduct: Undisclosed use of generative AI or violation of AI confidentiality guidelines will be treated as academic misconduct and handled according to COPE guidelines.
